Confidentiality is fundamental to building trust and maintaining professional standards.
All information obtained through our services will be handled responsibly, securely and in accordance with applicable data protection legislation.
PURPOSE
The purpose of this policy is to ensure that:

• Confidential information is handled appropriately
• Families understand how information may be used
• Clinicians understand their responsibilities
• Information sharing occurs only where justified

• Learning Specialists

• Any individual working on behalf of London Neuro Support
CONFIDENTIAL INFORMATION
Confidential information may include:
• Personal details
• Contact information
• Developmental history
• Educational information
• Assessment information
• Session notes
• Behavioural observations
• Health information provided by families
• EHCP-related information
• Reports and recommendations
• Emails and correspondence
RESPONSIBILITIES
All individuals working with London Neuro Support must:
• Respect client confidentiality
• Access information only when required
• Store information securely
• Use information only for professional purposes
• Report confidentiality concerns immediately
• Follow data protection requirements
Information must never be discussed in public places or shared with unauthorised individuals.
STORAGE OF INFORMATION
Information may be stored using secure systems including:
• Jane App
• Google Workspace
• Secure cloud storage systems
• Password-protected devices
Reasonable steps will be taken to protect information from unauthorised access, disclosure, loss or misuse.
INFORMATION SHARING
Information will only be shared:
• With parental consent where appropriate
• With clinicians involved in supporting the child
• When requested by the family
• Where required by law
• Where safeguarding concerns exist
• Where necessary to protect an individual from harm
MINIMUM NECESSARY INFORMATION
Where information sharing is required, only the information necessary for the intended purpose should be shared.
SAFEGUARDING EXCEPTION
Confidentiality cannot be guaranteed where:
• A child may be at risk of harm
• A vulnerable individual may be at risk
• Criminal activity is suspected
• Disclosure is required by law
In such circumstances, information may be shared with appropriate agencies without consent where necessary.
ONLINE COMMUNICATION
Clinicians and staff should:
• Use approved communication methods
• Maintain professional boundaries
• Avoid sharing personal contact details unless authorised
• Protect confidential information during online sessions
BREACHES OF CONFIDENTIALITY
Any actual or suspected breach of confidentiality must be reported immediately to the Founder and Director.
Breaches will be investigated and appropriate action taken.
Serious breaches may result in:
• Disciplinary action
• Termination of engagement
• Reporting to professional bodies where required
TRAINING AND AWARENESS
All individuals working with London Neuro Support are expected to understand and comply with this policy.
POLICY REVIEW
This policy will be reviewed annually or sooner where required by changes in legislation, guidance or service delivery.
